Share survey

After creating a survey, authors can share it with anyone, both internal audiences within the organization and external audiences.

Note: App profile admins can share a survey if they are the author or a co-author.

Surveys are shared through assignments. After creating an assignment, you can add employees to it at any time.

Note: You cannot manually add respondents for the "Generate a public URL" assignment type. Respondents are added automatically when they click the link or scan the QR code.

The following assignment types are available. Select the one that suits your requirements:

Navigate to Survey on the left pane.

  1. Scroll down to the All Surveys field and click View All on the right.

  2.   Go to the General tab and click Share on a survey.

You can also select a survey you want to share and click Share Survey at the top right.

Share survey with employees

You can share the survey with selected employees within the organization.

  3.   Follow steps 1 and 2.

  4.   Select the assignment type Share with the employees.

  5.   Type the title and set the start date.

You can perform the following actions as required:

  • Set the end date for a survey or keep it open infinitely.

Note: Setting the survey end date is necessary to send reminder notifications to respondents.

  • Enable Get notified when respondents submit the survey.

Note: A survey should be non-anonymous to get notified when respondents submit it.

  • Enable Send reminder notification and set the number of days.
  • Set the approximate time for survey completion.
  • Modify the email message.

  6.   Click CREATE.

  7.   Select employees and click ASSIGN.

You can select all employees in bulk or select individual employees by clicking beside their names.

Note:

  • When you share the same assignment with employees, only the newly added respondents are notified. Previously added respondents are not notified again, as they were notified earlier. 

Generate a public URL

You can share the survey by generating a public URL.

  3.   Follow steps 1 and 2.

  4.   Select the assignment type Generate a public URL.

  5.   Type the title and set the start date.

You can perform the following actions as required:

  • Set the end date for a survey or keep it open infinitely.

Note: Setting the survey end date is necessary to send reminder notifications to respondents.

  • Set the approximate time for survey completion.

You can copy the auto-generated URL or download the QR code to share it with anyone, both internal and external audiences.

  6.   Click CREATE.

Note:

  • If you download the QR code without creating the assignment, it does not work.
  • When the respondents click the link or scan the QR code, they will be added to the Respondents field.
  • When you share the survey with a public URL or QR code, whether the survey is anonymous or not, you can view the respondents as Respondent 1, Respondent 2, and subsequent numbers.

After sharing a survey, you can edit the options in a question, add new ones, or hide them. However, you can only delete newly added options, not existing ones.

  • After sharing a survey, you cannot

    • Delete the sections
    • Delete the questions
    • Change the question type

    You can only hide the questions, which can affect the collected responses.
